Restaurant inventory management, batch by batch

Knowing what is in the walk-in, what expires first and what the binned food is worth. Without typing up delivery notes by hand and without a spreadsheet halfway between the sale and the order.

Batches with expiry: whatever expires first goes out first

Every delivery sits in FoodSync as a batch, with its expiry date and the price you paid. Consumption comes first from whatever expires soonest, which is how a well-run kitchen works, and the cost of what gets used is that batch’s cost, not the latest list price.

When you put together the set menu, FoodSync suggests dishes that use up what is about to expire and still leave a margin.

Delivery notes by photo or email

Take a photo of the delivery note, or have your supplier send it to your restaurant’s delivery-note address, and FoodSync reads the PDF or image: supplier, products, quantities, prices and expiry dates. It leaves you a draft with a confidence score on every field, and anything doubtful is flagged in red.

Whoever takes the delivery checks it line by line against the paper and confirms. The draft never has authority: nothing reaches your stock until a person signs it off. Supplier invoices work the same way, and FoodSync matches them against their delivery notes and flags discrepancies.

  • Dedicated email addresses for delivery notes and for invoices
  • Draft with a confidence score per field and doubtful values in red
  • Front of house checks quantities without seeing what you paid
  • Price-increase alert on confirmation

From stock to purchase order, no spreadsheet

FoodSync starts from your consumption history and picks one model per ingredient, whichever errs least on your own data. It forecasts what you will use on every day you open, respecting your closing calendar, subtracts what is left in the walk-in and drafts the order for each supplier with its delivery day, cut-off time, minimum order and pack size.

By Monday morning the week’s order is already drafted. When the goods arrive, the delivery note is pre-filled and only needs confirming.

Waste in euros and movements that are never rewritten

Waste stops being a number in a notebook: it is valued in euros and runs through the margin. And stock movements are never edited or deleted, so what you see in the history is what happened. If you import a spreadsheet and get it wrong, the whole import can be undone within 24 hours.

Frequently asked questions

Do I have to type up delivery notes?
No. Every restaurant gets its own email addresses: your supplier sends the delivery note to the delivery-note address (or you forward it), or you take a photo, and FoodSync reads it and leaves you a draft with the original attached. Nothing reaches your stock until someone reviews and confirms it.
What if the AI misreads a delivery note?
That is why it is a draft. Every field comes with its confidence level and anything doubtful shows in red, so whoever takes the delivery can compare it with the paper before confirming. Without that confirmation, stock does not move.
Can someone who should not see prices receive deliveries?
Yes. Permission to see costs is granted by role: a waiter can verify the quantities on a delivery note without seeing what you paid.
Does FoodSync place orders by itself?
It drafts them. It works out what to order from each supplier based on the forecast and stock on hand, respecting delivery days, cut-off times, minimums and pack sizes. A person makes the final call.

Demo

Half an hour, with your own numbers on screen

Tell us which POS you run and how you buy. In the demo we set FoodSync up around your case instead of walking you through a generic tour. If we can see it does not fit, we will say so there and then.

  • We check whether your POS can be integrated today
  • We work out what your best-selling dish really costs
  • No commitment and nothing to install
